Terms and Conditions:

 

By submitting this form online and checking the AGREE button, I acknowledge and accept the terms and conditions listed below for myself and traveling party.

•The information provided on this form is true and correct and agree that neither myself, anyone in my traveling party, or any of my family will hold Defined Destinations LLC, and/or any other vendors, employees, subsidiaries, or any other persons responsible for any loss due to misinformation provided.

•A $500 NON-refundable per person deposit is due at time of booking to confirm your seat (OR MENTIONED DEPOSIT) . If the tour is cancelled due to lack of participation, as stated above, full deposit will be refunded to the original form of payment.  Payment is taken by credit card.  AFTER FINAL PAYMENT - ALL MONIES INCLUDING DEPOSIT ARE NON-REFUNDABLE (AT FINAL PAYMENT).  FINAL PAYMENT WILL BE TAKEN AUTOMATICALLY BY THE CREDIT CARD YOU REGISTERED WITH IF YOU DO NOT CANCEL FROM THE TRIP BEFORE FINAL PAYMENT

•Packages are nonrefundable after the final payment date.

•Travel insurance is recommended and offered by Defined Destinations LLC and my acceptance/declination is stated on the form. Travel insurance is optional and is an additional cost and is HIGHLY recommended.  If flights are delayed or canceled travel insurance would help with these expenses.  Defined Destinations does NOT reimburse for travel delays or flight cancelations.  https://partner.travelexinsurance.com/quote/

 

•A valid, approved US Passport is required for all guests traveling with the group to Europe. Each passenger is responsible to have proper documents. Failure to have proper documents could result in denied boarding.  

* COVID 19 EUROPE ENTRANCE - European countries are moving to allowing only vaccinated guests into their countries - This may change at anytime. 

•All travelers must have a valid Passport from their country - You DO NOT have to be a US citizen. I (we) understand that if we are not a US citizen carrying a valid  Passport ID, then it is our sole responsibility to obtain proper travel documentation for travel and Defined Destinations, LLC, or any other airlines, and/or any other vendors, employees, subsidiaries, or any other persons shall not be held responsible for failure to secure proper travel documents and no refunds will be given.

•Space on the packages is limited and confirmed on a first-come/first-serve basis.  We will not ‘hold’ seats without full deposit. 

•Name changes are allowed until 130 days prior to departure.

•Airport transfers in Europe are included when purchasing the group airfare but Defined Destinations can help organize transfers on separate flights.  Shuttles and taxis to/from the airport are available.  

FLIGHTS - Flights carriers names and times will be available 60 days prior to departure.  

If you purchase your own airfare we encourage you to wait until we have confirmed that the trip will operate.  This will be confirmed by final payment.  If you purchase non-refundable airfare on your own before that and the trip does NOT operate, Defined Destinations is not responsible for any monies returned to you.  We encourage to wait until the tour date has been confirmed!  If purchasing your own airfare and are not on the group flight - airport transfers are NOT included in the tour rate.  There are taxis that can take you to/from the airport and to the hotel located in the city center.  Please advise Defined Destinations with your flight info so we can pick you up at the hotel for the city tour.

 

*The trip package day layout can change at anytime - so please be flexible knowing the itinerary day layout could change if venues cannot accommodate us based on our proposed itinerary.  Please do not book special dinners, excursions until you receive the final itinerary (typically 2 weeks prior to departure)

•The package, including airfare, is a special packaged-price and any other discounts will not apply, including but not limited to MERSC, Senior Discounts, AARP, AAA, Online coupons, etc.

•Prices are based on a group minimum for each tour. If the group does not receive the minimum number of participants before final payment, tours will be cancelled and all monies paid to Defined Destinations will be refunded.  

•Final payment is non-refundable and due in full by the mentioned final payment.  If you would like to change the form of payment for final payment it is your responsibility to provide new information to Defined Destinations prior to JUNE 20, 2022. Failure to provide Defined Destinations with final payment, including declined credit cards, will result in forfeit of deposit and loss of space on the group.  

•Packages are subject to change without notice, including but not limited to hotel, transfers, pre-booked tours, and amenity changes.

Responsibility:  Tours are arranged and operated by Defined Destinations LLC.   Defined Destinations and their agents act only as an agent for such other parties, firms or corporations providing services herein. No liability shall be incurred by Defined Destinations, their agents, presenters or co-sponsors because of injury, loss, delay or other complication experienced by tour participants.

Defined Destinations reserves the right to correct printing errors, to make any changes or alterations in the printed itineraries, dates, routings, hotels or in included features prior to or during the tour, necessary for the smooth and efficient operation of the tour. The hotels used may change without notice. Defined Destinations reserves the right to accept, decline or retain any person as a participant of these tours.

GAME TICKETS ARE NOT INCLUDED IN THE TOUR PACKAGE UNLESS PURCHASED AS AN OPTION WHEN TICKET SALES ARE AVAILABLE. 

COVID 19 QUESTIONS AND COVERAGE:  We encourage all guests to purchase the optional travel insurance.  Please read through the coverage of travel insurance and the options available to you if you have to cancel after final payment for medical reasons including testing positive for COVID 19.  IF YOU ARE NOT ABLE TO TRAVEL AFTER FINAL PAYMENT - DEFINED DESTINATIONS WILL NOT OFFER REFUNDS BASED ON HOTELS AND AIRFARE RESTRICTIONS.  

WE HIGHLY SUGGEST PURCHASING TRAVEL INSURANCE FOR ADDITIONAL SUPPORT.

WHAT IS THE DEFINED DESTINATIONS EXPERIENCE LIKE?

I'VE NEVER TAKEN A GROUP TOUR BEFORE AND I'M AFRAID I MAY LOSE TIME FOR MY OWN INDEPENDENCE?

We offer a great balance of group time and leisure time for you to make your own discoveries.  Our local guides give you the layout of a city with history, places to shop and eat and then we set you out to make your own discoveries.  We are confident that you'll enjoy this style of touring even if it is your fifteenth time or your first time taking a group tour.  Balance is key to a great travel experience! 

 

WHAT KIND OF HOTELS DO YOU USE?

All of our hotels are well located and provide a quality 4* rating.  Rest assured that all of the accommodations we pick feature a private bath or shower. We have also included all the hotel taxes in the price of your tour.  We’ll take care of tips for restaurant service during included meals and baggage handling at the hotels too.  When we choose a hotel we look for the smaller boutique style hotels (where possible) which often leads to a more fulfilling and cultural experience.

 

I HAVE SPECIAL MEAL REQUIREMENTS;

Food allergies, needs or preferences shouldn’t keep you from experiencing the world.  Just notify us of any dietary restrictions at the time of booking and we’ll make sure that your Tour Director is made aware and can provide options for you.

AVERAGE SIZE OF EACH GROUP?

Most of our tours average in size of 20 – 27 guests.

 

CAN I TRAVEL ALONE?

Yes, Many of our passengers travel alone – often over 40% of our passengers are solo, but it's a great way to meet people. 

 

WHAT IS SINGLE SUPPLEMENT & DO I HAVE TO PAY IT?

Single supplement is for individuals that do not want to share a room and are willing to pay the extra cost for this.  If you are traveling single and would like to share the cost of a double room, we may be able to help you find a room mate of the same sex.  If a roommate cannot be found at the time of final payment, you can choose to cancel from the tour or pay the single supplement.  Please note there are limited single rooms available in Europe so confirming your single room early is helpful.

WHAT AIRLINES DO YOU USE?

All round-trip air travel for our tours is booked on regularly scheduled flights with major airlines.  We prefer to book direct flights wherever possible, but otherwise we book the most efficient flights available. 

 

WHAT ARE THE ADVANTAGES OF BOOKING MY FLIGHTS WITH DEFINED DESTINATIONS?

We have the expertise to handle all the details of your trip, so let us take care of planning it from start to finish. While it is possible to make your own flight arrangements for most tour itineraries, we strongly recommend that you  book your round-trip flights with us.  Our global network and relationships with airlines allow us to offer highly competitive rates, as well as personalized flight options that work best for your travel plans. 

 

When you book your flights with us, you'll also get: 

 

  • Included transfers to and from the airport at your destination on the standard arrival and departure dates for your tour.

 

  • The ability to fly into and out of different cities at a great value. 

 

CAN I ARRIVE EARLIER OR STAY LATER THAN THE SCHEDULED TOUR?

The answer is yes, feel free to extend or arrive at the destination before or after the group.  Our team can help give you some ideas of locations where you can extend your trips.  There may be airfare rate changes for this deviation. 

 

HOW MANY PIECES OF LUGGAGE SHOULD I BRING WITH ME? WHAT ARE THE WEIGHT LIMITS?

Traveling light is always a good idea.   We recommend that you bring a maximum of one carry-on bag and one piece of checked luggage (50lbs max).   This makes it much easier to get around, yet with room to purchase souvenirs.   Some airlines may charge for checked baggage (domestic tours), otherwise International flights do not have an additional charge for one piece of checked luggage (at this time).

 

CAN I UPGRADE TO PREMIUM ECONOMY, BUSINESS OR FIRST CLASS ON MY FLIGHTS?

Flight upgrades are available on some flights upon request.  Please call a Tour Consultant for more information about your options.  We do not recommend purchasing your own airfare until the tour has been confirmed (this happens at final payment). 

 

CAN YOU GUARANTEE OR ASSIGN SEATING ON THE PLANE?

Picking that perfect seat is important, and we will make general seat requests (such as window or aisle) whenever possible but we cannot guarantee we can get those seats.

 

In many cases, you must contact the airline directly to arrange your seating once you receive your finalized flight itinerary, about 30 days before departure. Some airlines will only allow you to make seat requests within 24 hours of departure, while others may charge a fee for advance seating assignments.

WHAT IS  NOT INCLUDED ON THIS TOUR?

Your spending money, personal travel insurance, medical fees, cost of any activities and excursions not mentioned in the itinerary, any meals not specified on the brochure.  We pride ourselves that most items are included in the tour price which leaves little out of pocket expenses for you.  Let us know if you have additional questions!
